Expanded Guest Table

Manage your guests efficiently with the expanded table view and actions menu

The expanded guest table gives you a full-screen view of your guest list with powerful bulk management tools and detailed registration information.

Accessing the Expanded Table

To open the expanded guest table:

  1. Go to your event’s Manage page
  2. Navigate to the Guests tab
  3. Click the expand arrow (↗) icon in the top-right corner of the guest list

This opens a full-screen table view with all your guests and their details.

Selecting Guests

Use the checkbox at the start of each row to select guests for bulk actions:

  • Click a checkbox to select or deselect a single guest.
  • Shift-click another checkbox to select or deselect every guest between it and the last one you clicked. The action matches what you’re doing to the shift-clicked row — if it becomes selected, the whole range is selected; if it becomes deselected, the whole range is deselected.

You can also click a guest’s email in the table to copy it to your clipboard.

Bulk Actions on Selected Guests

Once you’ve selected one or more guests, a Selected dropdown appears above the table showing the count (e.g. "5 Selected"). It offers actions that apply only to the guests you’ve picked:

  • Update Status - Change the status of the selected guests (Going, Waitlist, Not Going, or Pending), with options to notify them and to refund paid registrations.
  • Report Guests - Report the selected guests for review.

This is different from the Actions menu below, which operates on all pending guests or on a list of emails you provide.

Actions Menu

The expanded table provides an Actions menu with the following options:

  • Approve All - Approves all guests who are pending approval or on the waitlist (only appears when there are 2+ pending guests)
  • Update Guests - Change the status of specific guests by uploading a CSV or entering emails manually
  • Decline All - Declines all guests who are pending approval or on the waitlist (only appears when there are 2+ pending guests)

Update Guests

The Update Guests flow lets you change the status of specific guests in bulk by giving Luma a list of emails. You can open it from two places:

  • The Bulk Update Status icon button above the guest list on the manage page
  • The Actions menu in the expanded guest table → Update Guests

Both open the same modal:

  1. Choose how to provide the emails:
    • Import CSV - Upload a CSV file containing email addresses
    • Enter Manually - Paste or type email addresses directly (multiple emails separated by commas or spaces are accepted)
  2. Review the list of detected emails and remove any you don’t want to update.
  3. Select the new status for these guests (Going, Not Going, Pending, or Waitlist).
  4. For paid events, when changing to any status other than Going, you can optionally Refund Guests.
  5. Choose whether to notify the guests, and optionally add a custom message.
  6. Click Update Guests to confirm.

Emails that don’t match a guest on this event are ignored.

Additional Benefits

The expanded table view also provides:

  • Full registration details - See all registration questions and answers in a single view
  • Better visibility - More space to review guest information without scrolling
  • Easier navigation - Quickly scan through large guest lists

When to Use Actions

The Actions menu is particularly useful for:

  • Managing waitlists when spots become available
  • Approving multiple guests after reviewing applications for approval-required events
  • Declining registrations in bulk when an event reaches capacity
  • Updating the status of specific guests when you have a list of emails
  • Managing guest lists for events with high registration volume

Note: The Approve All and Decline All options only appear when there are at least 2 guests in the pending approval or waitlist status. The Update Guests option is always available.
